Day of Contact
Well hello!! We’re looking forward to working with you to make sure that the wedding is perfect for a wonderful couple. We recommend you printing this page for the day of the event to ensure that you have all information handy and it’s super easy to get a hold of us throughout the day with anything major!
Office Number: 519-302-9000 Can be used any time before or after the wedding and we’ll get back to you when we’re back in the office if you leave a voicemail or text!
Emergency Contact Line: This number will be sent to the couple the week before the wedding so it will be very helpful for you on the day of the wedding with any issues! We’ll also reach out with a welcome text that morning about half an hour before setup arrival time so it’s on your phone ready to go. This number is only to be used during event hours noted on the Client’s Invoice. Text or call and leave a voicemail if there’s no answer, this goes straight to the venue manager’s phone so please only used while an event is in progress with us!
What you’re responsible for:
- Introducing yourself to us upon arrival: We’d love if you could come and say hi to the venue coordinator when you arrive so you know what we look like and we know what you look like! This will help all the rest of the things fall into place and we can answer any questions you have then.
- Timing: We want to make sure that everything runs smoothly and we’re notified of any changes to timelines to plan accordingly. The most important thing is making sure that if the group is running late, you let the venue coordinator know! This goes for ceremony start time, cocktail hour time, and especially dinner service time as that’s one of the most important times to keep accurate for food quality.
- Ceremony Coordination with the Officiant and Music: You should speak with the officiant and DJ and make sure they are aware of when the wedding party is ready to begin. You should also make sure everyone knows their cues for the aisle walk and just refresh memories on spacing down the aisle. If the couple has hired us to coordinate the ceremony (will be spelled out on their invoice as an included service) we’ll take over but will be mainly working with you to help wrangle everyone to start! You’ll know the names and faces of the people we don’t so its incredibly helpful to have someone to turn to that isn’t the couple to make sure their day is totally stress free.
- Answering your phone in case of emergency: We’d love if you could keep your phone on vibrate within reach and pay attention to is since we’ll be contacting you if there’s an issue so we don’t have to intrude on the plans for the happy couple!
- Making sure that you communicate any issues to us: If you notice any issues or have any questions that your group doesn’t know the answer to, please come to us and we can help! We don’t want to intrude on your personal time together on the wedding day, but that also means that you’ll be the first to know if there is any kind of issue so please keep open communication with us throughout the day – no thing is too small, we’re here to help problem solve anything that might come up!
- Anything else that may have been assigned to you by the couple: Often the person assigned as day of contact may be listed as in charge of other tasks as assigned by the couple so please ensure you’ve chatted with the couple about their plans for setup, cleanup and other items like that since we’ll likely be coming to you if there’s an issue (super rare and unlikely but need to have someone to go to!)
- Having a really, really great time: This shouldn’t be remotely stressful, and honestly most weddings we barely need your help! We just need to have this connection to someone in the wedding that isn’t the couple just in case, to make sure that problems get solved and questions get answered so the couple can have the perfect day.
